Some of you will take this advice, most won’t. It’s a topic most people avoid talking about, but your business or loved ones will be affected no matter your individual decision.

Over my time in business, I’ve had clients pass away, or their business locations destroyed. Their spouses and/or business co-owners call distraught over not being able to access critical electronic information, everything from business accounts to personal photos.

Having a backup of your logins with a trusted spouse, partner, friend or attorney makes dealing with the inevitable easier.

Below is a starting list of just some of the electronic data locations that may need to be accessed:

 

  • Medical, banking, financial, personal, email accounts.
  • Online Payment systems: PayPal, Ebay, Quicken, Quickbooks, Peachtree
  • Cloud Storage – Microsoft’s OneDrive, Apples’s iCloud, Google Drive, Dropbox, Amazon Cloud Drive
  • Filing systems: OneNote, Evernote
  • Personal accounts: Facebook, Twitter, SnapChat
  • Purchased music, books, movies, etc. stored online: Google Play, Amazon (Kindle), iTunes, Spotify
  • Entertainment: Prepaid movies and data, Netflix, Amazon Prime, Hulu
  • Family history: Pictures- iCloud, Picassa, Shutterfly, Smugmug, Photobucket, Flickr, Snapfish

Here are three additional things to consider:

1. Designate in your will how and where to access these accounts, including passwords, what type of storage location they are located in, whether a notebook, a spreadsheet, phone contacts, or an electronic password holders such as LastPass, Dashlane, etc.

2. Give clear instructions who is to have, or not have, access to your account. (i.e. family member, business partner, trust, etc. )

3. Have a trusted attorney, family member, friend know where your passwords are. If you don’t have complete trust in someone, the access passwords can be split into parts and distributed.

Test your options to make sure they’ll work correctly when needed.
